Classify the invoice before choosing a formula
ACRA describes umbrella sub-funds as having separate assets and liabilities and expects separate financial information for each sub-fund in the annual filing process. Start with the contract, statement of work, invoice lines, time records, transaction counts and delivery evidence. A supplier may bill the umbrella legal entity while the work benefits one sub-fund. Conversely, a single invoice line may combine board, audit, tax, administration or technology work that needs to be separated before a formula is applied.

Select a driver that matches benefit
Use a driver hierarchy. Prefer direct identification, then measurable consumption, then a documented proxy for benefit, and use equal allocation only when the benefit is genuinely comparable. The method should be stable enough for consistent reporting but flexible enough to change when the business model, sub-fund population or service scope changes.

Work one invoice from source to ledger
Consider a hypothetical administrator invoice with three components: a service performed only for Sub-Fund A, transaction support separately measured for Sub-Funds A and B, and a residual umbrella reporting service used equally by both. The calculation should first charge the direct service to A, then allocate transaction support from the measured activity, and only then split the residual shared service using the approved equal-benefit method.

Attach the source data and show each arithmetic step. The reviewer should be able to reproduce the journal from the invoice and driver records without asking the preparer what was intended. If the administrator later corrects the transaction count or invoice scope, link the adjustment to the original allocation and preserve the reason.

Should every shared cost be allocated by assets under management?
No. Use assets only when it reasonably reflects the service benefit or consumption. Transaction count, time, holdings, investor accounts, complexity or equal benefit may be more faithful for different cost pools.
Can an invoice addressed to the umbrella belong to one sub-fund?
Yes, the addressee alone may not identify the economic beneficiary. Review the contract, invoice lines, work records and delivery evidence, then charge directly where the service is attributable to one sub-fund.
How often should allocation drivers be reviewed?
Review them on a planned cycle and when the umbrella changes materially, including a sub-fund launch or closure, new strategy, provider change, pricing revision or repeated allocation exception.

Does a documented allocation guarantee tax treatment?
No. A clear method improves accounting and evidence, but tax consequences depend on the current rules and the facts. Obtain appropriate tax advice for deductions, incentives, GST, related parties or cross-border charges.
