Reconcile VCC Factsheet Data Before Release

Independent Singapore VCC guidance

By Variable Capital Companies Actimplementation guide

Direct answer

Reconcile a VCC factsheet field by field before release. Assign an authoritative source, data date, owner, calculation or transformation, reviewer and tolerance to every published item. Match fund and share-class identity first, then test performance, benchmark, holdings, risk, fees and narrative claims against administrator, portfolio and approved document records. Hold unsupported fields, version the approved release, and use a controlled correction process if an error is found later.

At a glance

  • The correct VCC, sub-fund and share class should be fixed before numbers are compared.
  • A data value needs a source date and lineage, not only reviewer initials.
  • Narrative claims should reconcile to the same mandate and portfolio evidence as the tables.
  • Late data should trigger an explicit hold, omission or labelled fallback rather than silent reuse.

Who this is for

  • Fund manager product, operations, compliance and investor-reporting teams preparing periodic VCC or sub-fund factsheets

Important exclusions

  • A template that determines the disclosure obligations or offer route for a particular retail, restricted or overseas fund communication

Freeze the release identity and perimeter

Start with the legal VCC name, sub-fund, share class, currency, reporting period, valuation point, audience, distribution route and approved document set. Confirm that the factsheet describes the same product and offer context recorded in the manager and, where relevant, the notification records. A correct return attached to the wrong share class or date remains a serious publication error.

Create a field inventory before data arrives. Include titles, identifiers, objective, strategy, benchmark, performance periods, assets, holdings, exposures, risk measures, fees, distributions, disclaimers, contacts and document links. Assign each field a source owner and reviewer. This exposes fields assembled from manual email, stale presentations or uncontrolled spreadsheets before the deadline creates pressure to reuse them.

Reconcile performance and benchmark data

Obtain the approved NAV or performance data from the authoritative administrator or controlled calculation process. Verify share class, currency, valuation frequency, fee basis, distributions, subscriptions, redemptions and any restatement. Recalculate selected periods or compare them with an independent control output. Investigate changes that exceed the agreed tolerance and preserve the reason for any authorised adjustment.

Treat the benchmark as its own controlled dataset. Confirm the benchmark name, version, currency, return basis, source, period and effective mandate terms. A benchmark change should not be backfilled into prior factsheets without an approved presentation basis. Where comparison is inappropriate or data is unavailable, change the presentation explicitly rather than forcing a number into the usual layout.

  • Match every return series to the exact share class and reporting currency.
  • Confirm the treatment of fees, distributions and material cash flows.
  • Reperform selected calculations using a controlled independent method.
  • Check benchmark identity, return basis, period and any approved change.
  • Link restatements and exceptions to the release approval record.

Match holdings, exposures and risk measures

Use one defined portfolio cut and document how pending trades, cash, derivatives, look-through data and accrued items are treated. Reconcile total holdings and exposures before selecting top positions or charts. Confirm that sector, country, asset-class and counterparty groupings use controlled classifications. A polished chart can hide a wrong denominator, stale look-through file or inconsistent treatment of derivatives.

For every risk measure, retain the methodology, data cut, parameters, unit, sign convention and owner. Explain limitations when the published figure may not be comparable across periods or strategies. The commentary should not claim that the measure proves safety or predicts loss. If a model, market-data source or portfolio composition changed, determine whether the current figure and prior comparison remain meaningful.

  • Reconcile the portfolio total before extracting top holdings or chart segments.
  • Identify pending, unsettled, derivative and look-through treatment in the source record.
  • Confirm classification mappings and investigate every unmapped position.
  • Check risk measure methodology, units, sign, date and parameter version.
  • Remove or qualify a comparison that no longer has a consistent basis.

Challenge fees, claims and disclosures

Compare fee, expense, dealing, liquidity and distribution statements with current approved documents for the same share class. Review promotional adjectives and performance explanations against evidence. A technically accurate number can still mislead when its period, basis or limitation is omitted. Ensure that risk, availability and investor-status statements fit the intended distribution route and have not been copied from another product.

Separate factual commentary from portfolio opinion and forward-looking expectation. Cite the portfolio or market evidence used internally, define the period and avoid implying a regulatory endorsement. If a scheme appears in an official restricted-scheme list, that notification status should not be presented as authorisation, recognition or approval. The final reviewer should read the document as an investor would, not only compare cells.

  1. Field agrees with current controlled evidenceApprove the value and retain the source, date, transformation and reviewer in the release register.
  2. Field is correct but needs contextAdd the relevant basis, limitation or period and repeat the investor-readability review.
  3. Evidence is late or incompleteHold or omit the field using the approved fallback, without silently carrying forward stale content.
  4. Field conflicts with approved documentsStop release, resolve the controlling term and determine whether another document or system needs correction.

Approve, release and correct one version

Use a release checklist that identifies the exact file, content hash or version, reporting period, distribution channels, supporting data pack, preparers, reviewers, approver and release time. Lock the approved artifact so that design or channel teams cannot change values after sign-off. Archive the rendered version together with the field register and evidence, not merely the editable source file.

If an error is found, assess affected versions, channels, investors, decisions and connected regulatory or document records. Preserve the original release, stop further distribution, correct the authoritative source where necessary, approve a replacement and decide how recipients should be informed. Record root cause and a control change. Do not quietly replace a file at the same link without a correction trail.

Frequently asked questions

Who should own the VCC factsheet?

Name one release owner who coordinates data and approvals, while retaining clear source ownership for administration, portfolio, risk, compliance and product fields. The owner should control the exact version and distribution record, not personally certify data outside their competence.

Can last period’s data be reused when a source is late?

Only through an approved fallback that makes the date and limitation clear and remains suitable for the communication. Silent carry-forward creates a misleading impression of currency. Material missing data may require holding the factsheet or removing the affected field.

Should performance be checked only against the administrator file?

The authoritative administrator output is important, but the release control should also confirm share-class identity, period, currency, fees, distributions, benchmark and transformation into the published layout. Selected recalculation or independent comparison helps detect mapping and presentation errors.

Does CISNet listing mean MAS approved the factsheet?

No. The official list explains that notification of an intended restricted offer is not authorisation, recognition or endorsement. Investor material should describe the offer route accurately and avoid language or design that implies official approval of the scheme, manager or communication.

What evidence closes a factsheet correction?

Keep the original and corrected versions, error assessment, source correction, approvals, affected channel and recipient analysis, replacement evidence, communication decision and root-cause action. Confirm that future templates or data mappings no longer reproduce the same issue.
