Assume an umbrella VCC receives cash that the bank statement describes only with an abbreviated payer reference. One sub-fund expects a subscription, another expects a distribution return, and the accounting close is approaching. The control objective is not to guess the most likely owner. It is to prove the origin, purpose, value date and beneficiary before the cash affects units, income, liabilities or available liquidity in any sub-fund.

Freeze unsupported use of the balance

Mark the item as unavailable for dealing, investment, fee payment, distribution or expense allocation until ownership is established. Restrict manual journal access and identify any downstream report that already includes the balance. If the fund process requires a provisional accounting treatment, label it clearly and keep it outside investor or portfolio decisions where possible. Prove the correct sub-fund and class

For an umbrella VCC, confirm the exact sub-fund before deciding how the receipt should be treated. Then identify the share class or other allocation unit, investor account, dealing event and governing terms. Similar strategy names or a shared bank relationship do not justify moving cash between sub-funds. Where a pooled operational account is used, the supporting ledger must still preserve separate ownership. If evidence points to more than one possible destination, keep the amount unresolved and escalate instead of dividing it by expectation or convenience.

Approve and post the clearing entry

The approval pack should contain the original exception, complete trace, proposed accounting treatment, affected entity and sub-fund, value and posting dates, impact assessment, governing authority, preparer and independent reviewer. The approved journal must reference that pack and preserve the original suspense entry rather than replacing its history. After posting, rerun bank, custody, investor, ledger and umbrella-to-sub-fund controls. Reject any proposal that relies only on elapsed time, a balancing need or an unsupported management instruction.

Classify why the item became unmatched: poor payer instructions, missing mandatory fields, reference truncation, interface mapping, timing, provider handoff, duplicate record or control design. Improve the upstream process without deleting the original break or trace evidence. Test the changed control against normal and difficult examples. Frequently asked questions

Can suspense be used until the month-end close is finished?

It can be a temporary controlled location for an unresolved item, but the close date does not authorise unsupported allocation. The item should remain visible, restricted and assigned, with its possible effects on NAV, investors, liquidity and reporting assessed before release.

Should an old balance simply be written off?

Age alone is not evidence of ownership or authority. Trace the item, assess impact, identify the governing write-off or unresolved-funds process and obtain the required approval. Preserve the reasoning and rerun affected reconciliations after any authorised entry.

What if the bank reference is incomplete?

Use other independent fields such as amount, currency, value date, receiving account, originating bank details and accepted instructions. Contact the bank or authorised counterparty through a verified channel if internal evidence cannot establish purpose. Do not rely on name similarity alone.

Does an umbrella-level reconciliation prove the balance is correct?

No. Equal and opposite errors can leave the umbrella total apparently correct while sub-fund ownership is wrong. Reconcile external balances to separate sub-fund ledgers and test share-class or investor allocation wherever the transaction affects capital or income.

When is the investigation complete?

Completion requires supported ownership and classification, an approved entry, quantified downstream impact, corrected outputs where necessary, rerun control totals and a documented prevention action. Moving the amount out of suspense without those elements only hides the original uncertainty.
