Independent Singapore VCC guidance
Direct answer
Start with the exact fact you need to prove, then buy the narrowest ACRA VCC information product that answers it. Match the VCC name and UEN before purchase, download the delivered file promptly, and authenticate the document through the QR code or the VCC Portal using its authentication number and UEN. Do not accept a screenshot, forwarded extract or adviser summary as equivalent to an authenticated record. Log any mismatch and resolve it with the source document or issuing authority before reliance.
At a glance
- A Business Profile, extract, certificate and register answer different due-diligence questions.
- Match the legal name and UEN before paying for or circulating an official product.
- Authenticate the delivered document, not merely the email or screenshot that carried it.
- Treat stale or conflicting officer, manager or auditor details as an exception requiring resolution.
- Keep a purpose, retrieval date, authentication result and accountable reviewer with the record.
Who this is for
- Anyone verifying a Singapore VCC, sub-fund or recorded officer for onboarding, banking, provider appointment or transaction approval.
Important exclusions
- A legal opinion on ownership, authority or enforceability that the selected public product does not establish.
Define the fact that must be proved
Do not begin with a product name. Begin with the decision: confirming the entity and its UEN, reviewing a filed document, proving a registered status, or identifying recorded directors, secretaries, managers or auditors. Write the decision, the fact needed and the acceptable evidence before anyone buys a document. This prevents a familiar-looking Business Profile from being stretched beyond its purpose. ACRA describes separate VCC products because they provide different information. If the question concerns beneficial ownership, investment authority, bank signing rights or a contractual delegation, an ACRA product may be only one part of the evidence set.

Choose the narrowest suitable product
Use the product description and access conditions published for VCC information. A Business Profile supports basic entity identity and recorded position-holder checks. An extract provides a copy of a filed document or attachment. A certificate is suited to proving the registered fact stated on it. A register is aimed at an official list of recorded people in a specified role. Some products or documents have access restrictions, so a failed purchase is not evidence that the record does not exist. When a transaction needs several facts, list the minimum product set instead of buying every available item and creating an unmanaged document pile.

| Can a specific registered fact be formally evidenced? | Certificate | Use the certificate that corresponds to the fact being proved |
| Who is recorded in a particular officer or provider role? | Register | Confirm the register type and retrieval date before relying on names |

Match the entity before purchase
Search by the legal name or UEN and compare both, especially where names are similar or where an umbrella and its sub-funds appear together. Record the selected VCC, relevant sub-fund, requested product, purpose and requester. A wrong-entity purchase can look official and still be useless. If the request arrives from a counterparty, do not let their attachment determine the entity match. Use the official search result to anchor the review, then compare the attachment after retrieval. Where a recent name change, re-domiciliation or sub-fund event is known, add that fact to the search notes so the reviewer expects possible historic names or dates.

- Identify whether the question concerns the VCC, an umbrella sub-fund or a recorded person.
- Record the selected product and the decision it is intended to support.
- Flag known name, status or structure changes before interpreting older documents.
Authenticate the delivered document
Download the purchased file through the official delivery route and keep the complete document. ACRA explains that VCC information products can be authenticated through the QR code on the final page or by entering the authentication number and UEN on the VCC Portal product-authentication page. Perform the check on the actual file being relied upon. Record the result, document identifier, retrieval date and reviewer. Avoid re-saving the official PDF through tools that remove the authentication page or alter its contents. If only a screenshot or isolated page is supplied, request the complete document or retrieve a fresh official copy.

Resolve stale or conflicting details
A genuine document can still be too old for the decision. Compare its retrieval date and effective information with the onboarding form, investment-management agreement, board record and other current evidence. Classify each difference: a harmless timing difference, a pending update, a historic name, an incorrect counterparty record, or a potentially material authority or status issue. Do not repair a mismatch by editing the official document or accepting an unsupported explanation. Obtain a newer product, the relevant filing extract or direct confirmation from the accountable party. Escalate when the mismatch affects the identity of the VCC, its recorded officers, appointed manager, auditor, sub-fund or transaction authority.

|---|---|---|
| Name or UEN differs | Stop and re-establish the correct legal entity from the official search | Do not rely until identity is resolved |
| Officer or manager differs | Obtain a current register or filing evidence and ask for the effective date | Limit reliance until current authority is clear |
| Document is authentic but old | Retrieve a current product where the decision needs current status | Use only for the historic fact it proves |
| Authentication fails | Repeat with the complete official file and contact the issuing channel if unresolved | Treat the file as unverified |

Build a proportionate reliance file
The finished record should let another reviewer reproduce why the chosen product was sufficient. Keep the request, decision purpose, entity match, product selection, complete official file, authentication outcome, identified gaps, supplementary evidence and approval. Apply access controls where the product contains personal data. Set a refresh trigger tied to the decision, not an arbitrary habit: a new provider appointment, bank mandate, investment-management change, restructuring or credible mismatch may justify a fresh retrieval. Avoid presenting ACRA information as proof of matters it does not state. The aim is a bounded, authentic and decision-relevant record, not a larger document collection.

- Entity identity and the relevant VCC or sub-fund are unambiguous.
- The complete product and successful authentication result are retained together.
- Any mismatch, supplementary evidence and final reliance decision are documented.
- Refresh triggers and access controls reflect the sensitivity and decision risk.

Frequently asked questions
Is a VCC Business Profile enough for every due-diligence check?
No. It supports basic registered-entity and position-holder questions, but it may not prove a filed document, contractual mandate, bank authority, investor ownership or every later change. Match the product to the fact needed.
How can I authenticate a purchased VCC record?
ACRA says the buyer can scan the QR code on the final page or enter the authentication number and UEN on the VCC Portal product-authentication page. Keep the complete file and the result together.
What if an authentic document conflicts with onboarding information?
Classify the difference and obtain current supporting evidence. An authentic but old document may prove a historic fact without proving current authority. Stop reliance if the mismatch affects entity identity, status or decision authority.
Should I rely on a screenshot sent by a service provider?
A screenshot may omit authentication details, context or later pages. Request the complete official product or retrieve a fresh copy through the VCC Portal, then authenticate the file used for the decision.
When should an official VCC record be refreshed?
Refresh when the decision needs current status or a trigger suggests change, such as a new provider, manager, officer, bank mandate, restructuring or credible mismatch. Avoid a blanket schedule disconnected from risk.
