Roll a VCC FX Forward Hedge Without Cash Breaks

Independent Singapore VCC guidance

By Variable Capital Companies Actchecklist

Direct answer

Treat an FX forward roll as two linked transactions and one exposure decision. Recalculate the exposure for the named VCC or share class, approve the hedge amount and permitted deviation, close or settle the expiring contract, and book the replacement with matching identifiers. Reconcile rates, points, value dates, counterparties, cash flows and accounting before NAV release. A complete file should explain the economic purpose, the difference between old and new notionals, any residual exposure, and every settlement or confirmation exception.

At a glance

  • Recalculate the exposure instead of rolling the old notional automatically.
  • Link the expiring and replacement contracts without netting away the evidence.
  • Fund expected settlement cash and investigate differences before value date.
  • Reconcile both economic exposure and accounting treatment before NAV release.

Who this is for

  • VCC treasury and operations teams rolling portfolio, share-class or mandate-level FX forward hedges.

Important exclusions

  • A universal hedge ratio, accounting conclusion or dealing strategy for every fund, currency pair or investor class.

Recalculate the exposure before dealing

Identify the VCC, sub-fund or share class, base currency, hedged currency, valuation point and governing hedge policy. Recalculate the exposure from current assets, liabilities, subscriptions, redemptions, accrued income and known cash movements. Compare the proposed notional with the policy target and tolerance rather than rolling the expiring contract unchanged. Explain any deliberate under-hedge, over-hedge or residual amount. MAS risk-management material supports a controlled investment and risk process, while the operating file should show who prepared the exposure, who reviewed it and which data cut-off was used.

Approve dealing authority and counterparty capacity

Confirm the dealer, approved counterparty, account, product, currency pair, tenor and limits before requesting quotes. Check that legal documentation and settlement instructions remain valid and that the proposed roll fits counterparty exposure and collateral capacity. Separate the decision to hedge from the selection of execution terms so the review can show both the portfolio purpose and the transaction outcome. Where several sub-funds or share classes roll on the same day, use distinct order and allocation records. Do not allow an umbrella-level ticket to obscure which pool owns each notional, cost and cash flow.

  • Confirm the dealer and approver have current authority for the named mandate and product.
  • Check counterparty, tenor, settlement and collateral limits before quote acceptance.
  • Use separate allocation records for each sub-fund or hedged share class.
  • Verify settlement instructions through the approved standing-instruction control.

Book the close and replacement as linked trades

Capture the expiring-contract action and the replacement contract with stable identifiers. Record trade date, value date, currencies, direction, notionals, spot reference, forward points, agreed forward rate, counterparty and allocation. If the counterparty executes a swap or net settlement, preserve the component economics rather than recording only a net cash result. Match dealer recap, counterparty confirmation, order-management record and administrator booking. A difference in currency direction or value date can create a material cash need even when the headline notional appears correct. Escalate confirmation delays before settlement preparation is complete.

Fund and protect the settlement

Build an expected-cash schedule by currency and value date for the expiring and replacement legs, collateral and fees. Compare it with custodian and counterparty statements, then confirm funding and payment-versus-payment availability where relevant. The FX Global Code emphasises timely reconciliation and stronger settlement-risk management, including use of payment-versus-payment mechanisms where available. When settlement is not protected that way, document the exposure window, limits and escalation route. A missing payment, duplicate receipt or unexpected netting instruction should become a named exception with prompt counterparty contact and accounting follow-up.

Reconcile valuation and NAV impact

Confirm that the expiring contract is closed or settled correctly and the replacement appears once in the portfolio records. Reconcile market data, valuation method, accrued settlement amounts, realised and unrealised results, counterparty exposure and share-class allocation. Compare the post-roll hedge ratio with the approved target and explain residuals caused by market movement or late capital activity. Where the administrator uses a different FX source or cut-off, quantify the difference instead of forcing an unsupported match. The NAV reviewer should see both the economic continuity of the hedge and the accounting transition between contracts.

  • Remove or settle the expiring contract once and only once in the accounting record.
  • Book the replacement contract with the correct currency direction, notional and value date.
  • Reconcile realised and unrealised results to the agreed transaction and valuation inputs.
  • Compare the final hedge ratio with policy and explain every material residual exposure.

Close breaks and improve the next roll

Classify each break as exposure data, authority, execution, confirmation, settlement, collateral, accounting or reporting. Record root cause, financial effect, temporary control, permanent fix and closure evidence. Aggregate recurring breaks by counterparty, currency, administrator and process owner. A roll completed on value date can still be a control failure if the team relied on manual rescue, unidentified funding or late confirmation. Use the next scheduled roll to test whether the fix works. Report material or repeated issues through the VCC manager and board oversight process without turning the board pack into a trade-by-trade archive.

Frequently asked questions

Should the old FX forward notional always be rolled unchanged?

No. Recalculate the current exposure and compare it with the approved hedge policy. Capital activity, asset values, liabilities and cash flows may justify a different replacement notional and a documented residual.

Can the expiring and replacement legs be recorded as one net number?

Keep the component trades and economics visible even if the counterparty settles a net amount. The file should support confirmation matching, cash reconciliation, valuation and attribution for both legs.

What is the main cash risk during an FX roll?

A currency, direction, value-date, netting or funding mismatch can create an unexpected payment obligation. Build expected cash by currency and compare it with confirmations, custodian records and actual settlement.

How should late subscriptions or redemptions affect the roll?

Apply the approved cut-off and hedge policy, quantify any residual exposure, and record whether it will be accepted or adjusted. Do not silently change the notional after approval without a new record.

What proves that an FX roll is complete?

Completion requires matched confirmations, funded and reconciled settlement, correct accounting for both contracts, an approved post-roll hedge ratio, closed exceptions and retained evidence across the manager and providers.
