Lock the source population and definitions
Create a preparation record listing source systems, providers, cut-off time, entity and fund population, field definitions and owners. Freeze or version the extracts so later changes do not alter the approved return silently. For VCC-related data, preserve the mapping between manager records, VCCs, sub-funds and any excluded mandates. Resolve differences in definitions before calculating the fields. A familiar label such as assets under management, client or representative may not be interchangeable across internal and regulatory reports.

Validate calculations and file structure
Run control totals, cross-field logic, period-on-period movement checks and the current platform or schema validation before review. Do not correct a formatting error by changing an economic value without returning to the source record. If the portal redirects to another system, preserve evidence from the actual submission channel as well as the navigation record.
