Establish governance and preserve records

Name one coordinator to control the question register, evidence requests, drafts and final version. Assign accountable owners for compliance, operations, investment, risk, finance, technology and providers according to the facts requested. Preserve relevant records in their original form and suspend ordinary disposal where needed under the organisation’s authorised process. Who should coordinate a MAS information response?

Usually one authorised compliance or regulatory coordinator should control scope, owners, drafts, evidence and delivery. Subject-matter owners provide facts, while accountable senior personnel approve within the organisation’s governance.

Can a service provider answer directly?

Only through the authorised arrangement and communication route. Provider evidence can be essential, but the regulated entity should govern scope, accuracy, reconciliation, approval and the final response record.

What if evidence sources disagree?

Preserve each source, investigate the reason, assess wider impact and state unresolved limitations accurately. Do not select the most convenient record or silently alter history inside the response package.

Should working drafts be retained?

Follow the organisation’s approved records and legal guidance. At minimum, preserve original evidence, review decisions, the final approved response, exact attachments, delivery evidence and later corrections or commitments.

What if new facts emerge after submission?
