Start with capacities, services and exclusions

Draw the structure before building a spreadsheet. Identify the family principals, household or personal support, family-office employer, fund manager, VCC, each sub-fund and external service companies. Then list the services actually performed, such as investment research, trade support, finance, governance coordination, reporting, administration oversight, philanthropy support and personal logistics. The same employee may work across several capacities, but a job title does not determine who received the service. Write exclusions explicitly. Personal travel, household administration, private events and other non-fund activity should not enter the VCC allocation merely because the employee sits in the family office. Equally, genuine work for a manager or VCC should not disappear into an undifferentiated family cost centre. Clear capacity labels make approval, confidentiality, conflicts and record access easier.
