Rebuild the full confirmation population

Start with every bank, custodian, prime broker, depositary, lender and material cash or asset-holding relationship active during the financial year, plus closed accounts that had balances or transactions. Reconcile the list to signed contracts, general-ledger accounts, bank and custody reconciliations, investment positions, financing schedules, fee invoices, cash instructions and provider master data. For an umbrella VCC, tag the legal account holder and relevant sub-fund. A zero year-end balance or closed account may still matter because guarantees, liens, pending settlements or earlier transactions can remain relevant. Give the auditor the complete population and explain exclusions rather than silently limiting the list to accounts expected to confirm cleanly.

Verify identity and authority independently

Use provider contact details obtained from an independently verified source, established portal or known contract owner, not solely from a contact suggested in an unauthenticated email. Confirm the precise legal entity, branch, service line and account population covered by each response. Prepare the VCC authorisation using current signatories and board or delegated authority, but preserve auditor control over final addressing, dispatch and receipt. Where a provider uses an online platform, record user access, request identifiers and the route by which the response reaches the auditor. Never route a response through the fund manager simply because that is faster.

Map requests by umbrella and sub-fund

The request schedule should identify the exact VCC name, unique entity number, sub-fund name and registration number where relevant, account, currency, confirmation date and information required. Separate cash, investments, collateral, unsettled trades, loans, guarantees, liens, authorised signatories and related accounts instead of requesting one unexplained total. When a provider operates a pooled or omnibus arrangement, ask it to state what is held in the VCC's name and attach the administrator's allocation and reconciliation. An accurate umbrella total does not cure attribution to the wrong sub-fund. Tie each request to the financial-statement line and audit schedule that will use it.

Control dispatch, follow-up and alternatives

Maintain a tracker with request owner, verified address, authorisation date, auditor dispatch date, provider acknowledgement, response status, follow-up, exception and alternative procedure. The VCC team may help resolve a wrong branch, incomplete account list or stale mandate, but the auditor should retain control of the confirmation process. For a non-response, provide source records requested by the auditor, such as original statements, post-year-end settlements, contracts, cash evidence and independent portal downloads. Do not create a replacement response internally or accept a screenshot forwarded by an unverified contact as equivalent evidence. Escalate aged gaps early enough to avoid forcing a weak conclusion near sign-off.

Close every difference to the signed accounts

Classify each difference as timing, unmatched cash, unsettled trade, corporate action, valuation, accrued income, fee, financing, collateral, account mapping, foreign exchange, provider error or VCC-record error. Reconcile from both sides using dated source records and identify the correcting entry or disclosure. Confirm that a difference resolved after year end is reflected in the appropriate period. Tie final confirmed balances and positions to the trial balance, financial-statement notes, sub-fund schedules and auditor completion list. Keep unresolved items visible with owners and consequences. The annual return and financial-statement process depends on accurate, current VCC and sub-fund information; confirmation closure should support that record rather than become a separate spreadsheet with no final tie-out.

Frequently asked questions

Should the VCC reuse last year's confirmation list?

Use it only as a comparison. Rebuild the current population from contracts, ledgers, reconciliations, positions, financing and provider data. Add new, closed, dormant and zero-balance relationships where relevant, and explain changes. A rolled-forward list can miss a new sub-fund account or preserve an obsolete provider.

Can the fund administrator send confirmations?

The administrator can prepare records and help resolve factual routing or mandate issues, but the appointed auditor should control final request selection, addressing, dispatch and receipt. Responses routed through the VCC, manager or administrator require the auditor to consider whether control and authenticity have been preserved.

What if a bank or custodian does not respond?

Escalate the verified route and authority issue, then provide independent source evidence requested by the auditor for alternative procedures. That may include original statements, contracts, post-year-end settlement and secure portal records. The VCC should not manufacture a substitute confirmation or decide that the missing response is immaterial.

Must confirmations be separated by sub-fund?

The request and reconciliation should identify the legal account owner and affected sub-fund. A provider may issue one response for several accounts, but the VCC still needs a clear mapping so a correct umbrella total cannot conceal a position, liability or restriction recorded against the wrong pool.

When can a confirmation exception be closed?

Close it after the provider response or alternative evidence is authenticated, the difference is explained with dated records, any correcting entry or disclosure is completed, and the final amount ties to the financial statements and sub-fund schedules. Preserve the auditor's conclusion rather than marking closure solely from management agreement.
