Run the pre-signing attribution test

Read the commercial proposal and the contract as an end-to-end transaction. Identify what is acquired, which portfolio receives it, who can use it, where invoices go, which account pays, how liabilities are recorded and who approves exceptions. Carry the identity into downstream systems

A correct signature block can still fail operationally if the purchase order, vendor master, invoice email, bank beneficiary, custody account or accounting code points elsewhere. Create one approved contract data sheet and use it to configure downstream systems. Control amendments, renewals and exceptions

Repeat the identity and attribution test when a contract is amended, renewed, novated, expanded to another pool or moved between providers. A scope change can create a new allocation, data route, account or approval path even when the umbrella entity remains unchanged. Frequently asked questions

Is a sub-fund a separate contracting company?

No. The umbrella VCC is the corporate legal entity. The contract should identify that entity and state clearly which registered sub-fund the transaction concerns so the rights, obligations and downstream records point to the intended pool.

Can a strategy name replace the registered sub-fund name?

It should not be used as the sole identity. Strategy, portfolio and marketing labels can change or refer to another operating layer. Use the full current registered name and identifier, with any friendly label shown only as supplementary context.

What if several sub-funds share one service?

Name the participating pools and approve the allocation method, evidence and exception process before the cost is incurred. The invoice and accounting workflow should preserve that method instead of sending the charge to suspense for an informal later split.

Why test the first transaction after signing?

Configuration errors often appear only when an invoice, payment or ledger entry is processed. A first-transaction test proves that contract identity has reached the provider master, approval route, cash account, sub-fund books and oversight reports.
